The shelf, as it actually looks

During the visit the agent records what is on the shelf, what is left, what is damaged and what has expired. A photo backs it up, and a rating turns it into a number.

The problem

Why the order figure is not enough

The order value tells you how much was sold — and nothing about how the product sits on the shelf, where it is placed, whether any stock is left, or whether expired goods are sitting there. Those are exactly the things that determine next month’s sales.

Merchandising is traditionally a separate specialist’s job. In the system it becomes part of the agent’s visit — with no extra trip.

What gets recorded

During the visit

Shelf stock

How many units are on the shelf at the moment of the visit. This figure drives the order quantity — the order comes from the actual stock rather than from memory.

Expired goods

Expired stock found at the outlet is recorded during the visit. The information reaches the manager and the next step — return or write-off — proceeds on documents.

Damaged goods

Damaged packaging or product is recorded separately. This is the data that tells you something about logistics and storage conditions.

Display and placement

How the product is arranged, where it sits on the shelf, and the condition of the display and promotional material.

Photo report

How a photo becomes a number

The photo does not sit in an archive — it is rated and it feeds the outlet score.

01The photo is mandatory

The app does not let the agent continue to the order until the product has been photographed.

02Rated with stars

The supervisor or manager rates each photo on a 5-point scale.

03Outlet score

The ratings produce an average score for the outlet, based on placement and product position.

04Bonus system

The rating also reflects the agent’s work and can be used in the staff motivation scheme.

Result

What this gives management

A drop in sales often starts on the shelf rather than in the price: the product is badly placed, pushed to the back row, or simply out of stock. Shelf stock and photos recorded during the visit make that visible while it can still be acted on.

Systematic recording of expired and damaged goods then shows which outlets keep repeating the problem — and that is already a question of delivery or storage.
